Help & FAQ

Quick answers to common questions about Reachfile.
What is Reachfile?
Reachfile adds a read-receipt layer on top of Google Drive and OneDrive. You share files the same way you always have — the difference is that Reachfile tells you whether the link was opened, whether the file's sharing permissions changed after you sent it, and whether the viewer saw the latest version. Your files never leave Google Drive or OneDrive.
Do I need to upload my files to Reachfile?
No. Reachfile never becomes the storage layer. Your files stay in Google Drive or OneDrive — Reachfile only creates a trackable smart link that redirects there. The only exception is the optional Smart Preview feature: when preview is enabled, Reachfile stores lightweight preview assets (thumbnails and selected page images) to show a preview before the viewer is redirected to Drive. Google Drive / OneDrive remains the single source of truth.
What file types are supported?
Any file that lives in Google Drive or OneDrive — Google Docs, Sheets, Slides, PDFs, Word, Excel, PowerPoint, images, and more. Smart Preview (optional) supports PDF and common document types for thumbnail rendering.
What is the Pre-send Delivery Check?
Before you send a link, Reachfile checks the current sharing state of the source file and shows you whether external viewers are likely to be able to open it. It shows the current sharing level (Public, Restricted, Domain-only, etc.) and whether access looks likely or may be blocked. The verdict is an estimate based on Drive/OneDrive sharing settings — the actual outcome can vary depending on the viewer's login state and organization policies.
What are Read Receipts?
Each smart link shows an "Opened" or "Not opened" status in your dashboard — similar to a read receipt in a messaging app. You can see the first-opened timestamp, last-opened timestamp, total number of opens, and per-open details including country, device, and browser.
What is Sharing Permission Change Detection?
If the sharing settings on the source file change after you have already sent a link, Reachfile notifies you. There are two directions: (1) Narrowed — e.g. the file was changed to Restricted, meaning recipients may no longer be able to open the link; (2) Widened — e.g. the file was changed to "Anyone with the link", which may mean the file is now more widely accessible than you intended. Reachfile also detects if the source file is deleted or moved, and can automatically deactivate the link.
What is Latest Version Status Detection?
If your source file in Drive or OneDrive is updated after a viewer has already opened the link, Reachfile flags it in the dashboard. You can see whether the viewer opened the link before or after the latest update, so you always know if they saw the most current version.
What is the Activity Timeline?
Each smart link has an Activity Timeline — a chronological log of everything that has happened: link created, file shared externally, opened (with location and device), preview pages viewed, clicked "Open in Drive", source file updated, viewer reopened, permission changed, and more. The Free plan retains 30 days of history; paid plans extend this to full history.
Is there a free plan?
Yes — the Forever Free plan includes unlimited smart links, read receipts (opened / not opened), a basic delivery check, basic smart preview, and up to 30 days of activity history. No credit card required.
Why is the core smart-link feature free?
Reachfile does not host your source files (only optional lightweight preview assets), and the core smart-link flow does not rely on paid AI inference. This keeps infrastructure costs low enough that we can offer the essential read-receipt experience at no charge.
What does the Starter plan ($9/mo) add?
Starter is designed for individuals who share files professionally and need more depth. It adds: Sharing Permission Change Detection (narrowed / widened alerts); Latest Version Status Detection; customizable delivery alerts (choose which events trigger a notification and by what channel); up to 2 connected file storage accounts (e.g. a personal Drive + a work Drive); up to 30 trackable invitation emails per month (send a link directly to a recipient and track who opened what); and full activity history with no 30-day cutoff.
What does the Plus plan ($29/mo) add?
Plus is built for small teams and client-facing professionals. On top of everything in Starter, it adds: team workspaces (up to 3 members) with owner, admin, and member roles; custom domains (up to 3, e.g. files.yourcompany.com) with automatic SSL; up to 3 connected file storage accounts; Google Analytics and Google Tag Manager integration (inject your own GA4 / GTM IDs into shared pages); Google reCAPTCHA and Cloudflare Turnstile integration; and up to 100 trackable invitation emails per month.
What does the Advanced plan ($99/mo) add?
Advanced is for agencies and larger teams. On top of everything in Plus, it adds: team workspaces up to 15 members; custom domains up to 10; up to 5 connected file storage accounts; audit-ready logs and reports (exportable); up to 500 trackable invitation emails per month; and Priority Support.
What does the Enterprise plan include?
Enterprise is built for organizations that need to govern file sharing at scale — think "shared file lifecycle management". It includes everything in Advanced, plus: unlimited team members; unlimited custom domains; unlimited connected file storage accounts; unlimited trackable invitation emails; an admin dashboard with compliance controls; stale public link detection (surface Drive links that have been public longer than a policy threshold); external sharing review workflows; link expiration policies; and admin notification rules for workspace-level risk management.
Can I use my own domain?
Yes. Plus plans and above support custom domains (e.g. share.yourcompany.com). SSL certificates are handled automatically via Cloudflare.
How does file syncing work?
Reachfile uses Drive Push Notifications and Microsoft Graph Change Notifications to detect changes in real time. If a source file is renamed, updated, deleted, or has its sharing settings changed, Reachfile detects it and updates the link status in your dashboard — typically within minutes.
Can I collaborate with my team?
Yes. Plus plans and above support team workspaces. Members can view and manage shared links across the workspace according to their role (owner, admin, or member). Enterprise adds an admin dashboard with compliance controls for organization-wide oversight.
How do I cancel my subscription?
Go to Settings → Billing in the dashboard and click "Manage Subscription". You can cancel at any time — your plan stays active until the end of the current billing period.
